Frequently Asked Questions

Do I Need a Passport or a Visa?

+

A passport is required for traveling outside of the United States.  Many countries now require that the passport be valid for at least 6 months after the date of travel.  You can download a passport or visa application at the U.S. Department of State website.  (Some countries require a visa.) Please check the U.S. Department of State website www.travel.state.gov to see if you will need a visa to travel. Harvard Sports is not responsible for any passport or visa fees.

What are the baggage restrictions?

Every airline has its own baggage requirements, restrictions and costs.  Please check the website of the airline (s) that you will be traveling with to find out the specific rules for that airline.  Harvard Sports is not responsible for any baggage fees.

Can I purchase Travel Insurance?

+

Harvard Sports Management Group, Inc. does not sell Travel Insurance; however, you can certainly purchase your own travel insurance through any travel insurance provider.

Do I need an adaptor or an electrical converter?

+

Be sure to check in advance of the trip what adaptor or converter (if any) you will need for the voltage of the country (ies) you will be visiting.  Harvard Sports does not provide adaptors or converters.

Can I use my credit card while traveling?

+

Credit card companies must be notified in advance of your departure of the dates and countries that you will be visiting. Most credit card companies/banks will allow you to notify them online or you can call them directly. You can also use your debit cards at the many ATM machines available while traveling.

Can we eat or drink while traveling on the motor coach?

+

Generally, no food or alcoholic beverages are permitted on the motor coaches.  In some cases, the driver may permit certain snacks.  Water and cold drinks are generally permitted.  Please respect the rules for Tourism and Transportation in other countries.

Can I deviate my airline flight?

+

You may wish to travel on a different date or from a different airport than the group.  We can offer assistance in exploring deviation possibilities for your flight.  Please contact Vivian@harvardsports303.com or by calling Vivian at 516-764-4355 for further information.

How can I make payments on my trip?

+

What is a “Single Supplement?”

+

Anyone wishing to have a single room will be charged a single room supplement fee as the cost for your tour is based on double/triple occupancy.  Costs vary depending upon location.

Can I get a Refund?

+

Each tour package includes a Cancellation Schedule.  You should review the documents sent to you by your coach/administrator for fees specific to your group. There are no exceptions to the Cancellation Policy Schedule.

Are Gratuities included on the tour?

+

Your tour does not include gratuities for the Tour Manager or Motor Coach Driver.  At the conclusion of the tour, it is customary to tip the Motor Coach Driver and especially your Tour Manager.  We suggest $3.00 - $4.00 per day per person for the Tour Manager and  $2.00 - $3.00 per day per person for the Motor Coach Driver.

If I don’t buy the Tour Package from Harvard Sports Management Group, Inc., can I ride on the group motor coach with the group?

+

Due to insurance restrictions, if you are not a registered traveler with the group you cannot travel with the group on the motor coach.  NO EXCEPTIONS.

Can you manage travelers with special meal requirements?

+

Yes we can. We only ask that you advise us in advance of any known allergies or specific food requirements.

What is the best way to exchange US Dollars to the currency of the country (ies) I am traveling to?

+

We strongly suggest that you use credit cards when possible. You can also order currency from your US bank and bring it with you. ATM’s are available for getting cash while traveling. We do not recommend using the Currency Exchange Bureaus at local airports or within the city centers as their rates and fees are generally exorbitant.
